The mobile app is required to record and collect children's assessment data and track session progress. It's secure and requires user authentication to access and use for each organisation.

Key app features:

  • Child assessment coverage statuses
  • Detailed child curriculum display covering Topics, Skills, Goals and Steps
  • Flagged/targeted objectives display
  • Detailed Goal information
  • Goal notes taking
  • Child attendance (present or absent)
  • Offline local data recording

Users must sign in with their respective organisation's account which can be configured in app settings.

Data is automatically synced on sign in and supports usage in offline environments.

The apps support the latest Android and iOS versions as well as some older versions - see the app store for more details.

App Usage

The ASD Capture smartphone apps are available on both Android and iOS (see Get the Apps ) and each are designed to provide identical functionality. To use the apps you must have an activated account that has been assigned the Therapist or Paraprofessional user roles.

Note: Accounts that are not activated or do not have valid user roles will be denied access in the Sign In screen.

First time setup is required to configure the app to your organisation's server: App Setup

The typical workflow for using the apps can be described as follows:

  1. Sign in and Sync data at the start of a session
  2. Optional: manually start a new session (see Sessions )
  3. During a session, assess and grade children for their targeted goal steps (see Assessments )
  4. Goal notes may also be recorded for each child's targeted goal (see Goal Notes )
  5. Sync data and Sign out at the end of a session

App Setup & Settings

The first step after installing the App from the app store is to configure it to your own Organisation . This will enable the app to sync with your server and data respectively.

To access the app settings navigate to the Sign In screen and tap on the settings menu in the top right corner of the screen (see below).

Organisation

The selected Organisation that the app will be used for.

Your app must be set to your own organisation.

Sync Settings

From the settings screen other app settings can be configured such as the data syncing policies:

  • WiFi only syncing - will only sync data when connected to a WiFi network. Enable this to ensure mobile data is not used for data syncing.
  • Sync on Sign In and Out - will automatically attempt to sync data on sign in and sign out.

Sign In

Once the correct organisation has been selected (see App Setup ) users can sign in by entering their website login credentials.

If your organisation has been correctly set then the screen title, sign in logo and sign in url should be displaying as your oganisation's.

A user must have an Activated account and must be assigned to either the Therapist or Paraprofessional user role to be able to sign into the apps.

Syncing Data

When the app synchronises data it first sends any locally stored (unsynced) data to the server. It then proceeds to retrieve a complete and up to date copy of the server's database.

A working internet connection is required to sync data. This can be a WiFi or mobile data connection. See Sync Settings

Synced data includes:

  • Children and assigned (key) children
  • Curriculum, Active Objectives, Goals and Steps
  • Goal Notes
  • Assessments
  • Users
  • Session

The apps can manually sync data by tapping on the sync data icon found on the Children List screen (see examples below).

Sessions

Assessments are grouped into Sessions which are used to track child learning progress and generate alerts.

By default the app and server automatically defines an assessment Session as 1 full day (12:00 AM to 11:59 PM) according to the configured server timezone.

However some use cases require multiple sessions per child per day. Thus the app also provides a way to start a new session manually.

A new session can be started from the Children List screen by tapping the top right menu icon on Android or the Sessions Icon on iOS and choosing "New Session":

Once a new session is started the app will no longer show older session assessment data - old session data is still saved and synced.

Upon successful sign in and data sync the app will present the Children List screen.

This screen is comprised of two listed sections of children:

  • Key Children: are children that have been assigned to the currently signed in user
  • All Children: are all the children available to the currently signed in user (including Key Children)

Note: users with the Paraprofessional role will not be able to access or view children that have not been assigned to them.

Each child has a set of icons and figures beneath their name as well as an assessment coverage percentage

This colour graded percentage provides a quick references to how much Assessment Coverage a child has.

Assessment Coverage is the percentage of Total Active Steps that has been assessed by the current user for the current Session

Flagged Steps

Flagged Steps

Flagged steps are Steps (and subsequently Curriculum, Goals and Objectives) that have been flagged for the current child.

This is typically set when a particular child requires attention on certain Goal Steps.

A red flag icon will appear next to a flagged step's Curriculum and Assessment steps.

Total Active Steps

This is the total number of steps available for assessment for the child.

This number is the total number of Active Steps that has received assessment from the currently logged in user for the current Session .

Marking a child as Absent or Present

Each child can be marked as Absent or Present for the current session by tapping on the vertical menu dots (see below) and selecting the "Mark as Absent" or "Mark as Present" actions.

When a child is marked as Absent the Absent indicator appears over of the child's picture (see below).

Marking a child as absent is recommended to help let the ASD Capture system know that the child should not have alerts generated for missing a session due to being absent.

Absences are recorded per Session and will appear in the child's assessments history.

Curriculum

By selecting a child from the Children List screen the child's assessment Curriculum is presented.

This screen displays the currently targeted Learning Curriculum - this comprises of:

  • Topic Category (eg. Fine Motor)
  • Topic Level
  • Skill Level & Skill

These are defined by the child's active Objectives and targeted Steps.

Skills are colour coded to provide easy indication of Assessment Coverage for the currently logged in user for the current Session .

Flagged Objective Skills will display a red flag on the right hand side.

Tapping on a Topic Category will take you to the Assessment screen for the chosen Topic Category.

The Assessment screen is reached by:

  1. selecting a child in the Children List screen
  2. selecting a Topic Category from the Curriculum screen

This screen presents the targeted Steps that are available for assessment for the selected Child and Topic Category.

Each assessable step is ordered by Topic Level, Skill Level and finally Step Level.

A red flag symbol on the right-hand side of a Skill signifies if the Step is part of a Flagged Objective

Recording Assessments

Recording assessment data is as simple as tapping on a given step's grade button. Eg. NC, F, P or A

Once tapped, the assessment count will display next to the selected grade. Eg. NC - 1

Each successive tap will increment the grade count by 1.

Removing Assessments

To undo or remove an assessment a long (hold) press on the corresponding assessment grade button is required.

The score will decrement by 1 each long press until it reaches the desired count or 0.

Expanded Step & Goal Information

Each step provides additional Goal Information and Goal Notes in the Expanded Step view. This view can be reached by tapping the "i" icon:

The blue section displays the corresponding Goal Information for this assessment step.

The yellow section displays the corresponding Goal Note (if any) for this assessment step.

Goal Notes

Android Goal Note

A Goal Note is a personalised note that can be saved and edited for each goal. It is commonly used for noting any significant observations or action a child has made the given goal or step.

To view or edit a goal's note, tap on the Info icon to show the expanded goal information in the Assessment screen.

If there is no Goal Note available None will be displayed along with the "Add Note" button. Else the Goal Note will be presented with an "Edit Note" button beneath it.

Saved Goal Notes are attached to the specific goal and are available across all assessment sessions.

Sign Out

To sign out of the Android app:

Tap on the navigation drawer (top left) and tap the Sign Out drawer item.
